Koolyum LLC ("Koolyum", "we", "us", or "our") operates an AI-powered phone ordering platform for restaurants. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website at koolyum.com and our AI phone ordering service ("Sara"). By using our services, you agree to the collection and use of information in accordance with this policy.
2.1 Restaurant Owner Information
When you create an account, we collect: full name, email address, phone number, restaurant name, business address, and billing information processed securely through Stripe.
2.2 Customer Call Data
Our AI agent Sara answers phone calls on behalf of restaurants. During calls we collect: phone number of the caller, call recording and transcript, order items and total, and call timestamp and duration.
2.3 Technical Data
We automatically collect: IP address, browser type, pages visited, and time spent on our platform.
IMPORTANT: Our AI agent Sara is required by FCC regulations to disclose that it is an AI at the start of every call. Sara will always identify herself as an AI assistant. We do not use AI to deceive callers into believing they are speaking with a human. All calls may be recorded for quality assurance and order accuracy purposes. Callers are informed of this at the start of each call.
We use the information we collect to: process and fulfill restaurant orders, operate and improve our AI ordering system, send transactional emails such as order confirmations and welcome emails, provide customer support, comply with legal obligations, and detect and prevent fraud.
We do not sell your personal information. We share information only with: payment processors (Stripe) to process billing, telephony providers (Twilio) to handle phone calls, email service providers (Resend) to send transactional emails, and law enforcement when required by law. Restaurant owners have access only to data from their own restaurant — customers, orders, and call logs are fully isolated per restaurant.
Call recordings are retained for 90 days. Order data is retained for 3 years for tax and business purposes. Account data is retained while your account is active and for 12 months after termination. You may request deletion of your data by emailing privacy@koolyum.com.
You have the right to: access the personal data we hold about you, correct inaccurate data, request deletion of your data, opt out of marketing communications, and port your data to another service. To exercise these rights, contact us at privacy@koolyum.com.
We implement industry-standard security measures including TLS encryption for all data in transit, encrypted database storage, access controls and audit logs, and daily backups. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
We use essential cookies to maintain your login session. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but this may affect your ability to use the platform.
By signing up for Koolyum, restaurant owners acknowledge and agree that: they have the legal authority to forward their business phone number to our system, their customers calling the restaurant's number may interact with an AI, and Sara will disclose her AI identity on every call as required by the Telephone Consumer Protection Act (TCPA) and FCC regulations.
Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, contact us at privacy@koolyum.com.
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of our services after changes constitutes acceptance of the updated policy.
